Vendor Hall

The vendor hall will be located in the Shelby Ballroom of the conference hotel, the Holiday Inn: University of Memphis. Booth spaces will be 8 ft. by 8 ft. and will include a 6 ft. table and two chairs. Standard 120v, 20A power will also be available at the booth. If you wish to have a portable dome, you will need to have a total of 4 booth spaces. Additional booth space beyond what is included in your sponsor level can be added for $250 per booth space.

AutoZone Dome at the Sharpe Planetarium

Planetarium Technical Specifications:

  • 15.24 meter Astro-Tec dome, 0 degree tilt, 45% reflectivity
  • 145 unidirectional theater seating by Seating Concepts
  • Konica Minolta Super Media Globe-II – High resolution 2400 pixels and 10,000:1 contrast single lens projection 
  • RGBW cove lighting by Bowen Technovations – controlled by ASTROFX Commander
  • 5.1 Surround Sound System – 6 QSC LF-4115 and HF-75C Cinema Loudspeakers, and dual 18” subwoofers mounted behind dome
  • SkylaseFX system with 2 Beam projectors and Hazer
  • Hearing assist system
  • Floor to bottom of cove is 7’, and there is a minimum of 3 feet of space behind the dome.

Content Specifications for dome presentation:

  • Resolution: 2400×2400 (2304×2304 is acceptable)
  • Container: MP4
  • Frame rates: 30fps (60 fps should play on dome but needs to be checked for smoothness of playback)
  • Video Codec: H264 (Profile High, level 5.1, 15-20Mbps CBR)
  • Audio Codec: AAC embedded (6 Channel L,R,C,Lfe,Ls,Rs 640Kbs or 2 Channel L,R 256Kbps) or AC3 embedded (6 Channel 448Kbps or 2 Channel 192Kbps)

The SMG II and 4.8K will play lots of different video formats, but limiting it to MP4 for the conference simplifies the loading and playback of all movies and eliminates the need for separate sound files.

Dr. Emmet Brown (Level 5 @ $3,500)

  • Everything in George McFly level, plus
  • Additional booth space in vendor hall (2 – 8′ x 8′ spaces)
  • 30 minute dome time in the planetarium
  • Half page ad in conference program
  • Includes two (2) free conference registrations
  • Two (2) items in the conference bag
  • Sponsor recognition of a lunch or dinner meal (excluding conference banquet)

Delorean (Level 6 @ $4,500)

    • Everything in George McFly level, plus
    • Up to four (4) booth spaces in vendor hall
    • 30 minute dome time in the planetarium
    • Full page ad in conference program
    • Includes three (3) free conference registrations
    • Two (2) items in the conference bag
    • Sponsor recognition of the conference banquet
    • Company logo on conference bag

Vendor Lunch

During the Wednesday lunch each vendor sponsor will have the opportunity to stand up and speak for 3 minutes introducing your products and/or services to the entire conference delegation.

Additional support options

  • Add additional booth space – $250
  • Ten (10) minutes of additional Dome Time – $500
    • Maximum time allotted will be limited to 40 min. in order to accommodate more vendors.
  • Add an item to the conference bag – $50
    • Please provide at least 125 items to the conference host, not later than May 1, 2024.
  • Add or upgrade an ad in the conference program;
    • If upgrading the ad size that is included in your sponsor level, the fee will be the difference between the two ad fees.
    • Eighth page ad – $25
    • Quarter page ad – $50
    • Half page ad – $100
    • Full page ad – $200

Please refer to the Sponsor Information above for a full description of sponsorship levels and facility information.

If you wish to have space for a dome, the fee is equivalent to four booth spaces ($1000), even if your dome is much larger. Extra chairs can be arranged through the hotel for your dome interior, if needed. Please enter the number of additional booth spaces above, $250 per 8'x8' ft section:
Add 10 minutes of additional Dome Time - $500 Due to a limited amount of total available dome time and depending upon the total amount of dome time requested, the maximum amount of time in the dome will be limited to 40 min. Please enter the amount of additional Dome Time you would like in 10 min. increments:
If you wish to add to or increase the ad size provided for your chosen sponsorship level, check one of the boxes below. For upgrades in ad size, you will only be charged for the difference.

Once we receive your submission, we will verify your sponsorship selections and contact you to confirm specific details in order to reach the correct sponsorship fee. Note that each individual planning to attend the conference as part of your organization, whether included in the chosen sponsorship level or not, will need to complete a Delegate Registration form when conference registration is made available.

If there are free registrations included in your sponsorship level, you will receive further information about how that credit will be applied.
